1. Overview & Society Operation
myNWMES is operated by North Wilts Model Engineering Limited / North Wilts Model Engineering Society (“NWMES”).
myNWMES is used for membership administration, training and competence records, volunteering, notices and events, and related society administration.
2. Personal Information We Hold
Personal information held within myNWMES may include:
- Member name
- Membership or Member ID
- Registered email address
- Membership information
- Training and competence records
- Assessment and review history
- Volunteering and training requests
- Governance or administrative records where relevant
3. Authentication & Third-Party Sign-In
Email one-time passcodes (OTP) are used as the primary authentication method for sign-in.
Members may optionally choose to link a Google account for convenient sign-in. When a Google account is linked:
- myNWMES uses the Google identity solely to authenticate the member and associate that Google account with the member’s existing NWMES account.
- myNWMES does not create membership based on a Google email address.
- myNWMES does not require the Google email address to match the Membership Register email address.
- myNWMES requests only basic identity authentication and does not request, claim, or access Google Drive, Gmail, Contacts, Calendar, or any other personal Google account content.
4. Data Sources & Storage
NWMES membership and business records are held in the organisation’s existing systems, including Google Workspace / Sheets and Firebase services where applicable.
5. Access Control
Access to personal information within myNWMES is restricted according to member, Assessor, Director, or Administrator permissions as appropriate.
6. Retention
Records are retained for as long as reasonably required for membership, operational, training, competence, governance, safety, and legal purposes.
Historic training, assessment, and audit records may be retained where necessary.
7. Security
Reasonable technical and organisational controls are used to protect personal information.
Authentication and access controls are used to protect member information against unauthorised access, alteration, or disclosure.
8. Data Sharing
Personal information is not sold.
Service providers such as Google and Firebase may process information only as required to operate the service.
